The MAS 94th Annual Convention is scheduled for June 12 - June 15,2023 at the Mississippi Coast Convention Center (MCCC) in Biloxi, MS. Registered Vendors, Sponsors and Exhibitors are welcome to attend all events on the published agenda. Name badges are required for all Convention activities.

If you have already sent in your registration form, then you may disregard request to register but please continue to read. Below are updates regarding the convention, expo floor, invoices, setup/breakdown time, etc.
Today, May 12, 2023 is the last day to register at the Regular Rate. Late registration rate will begin May 13, 2023 – May 31, 2023. Onsite registration rate will begin June 1 – June 15, 2023. MAS will be giving away MAS t-shirts to attendees who register by May 31, 2023.
Please visit the MAS website at www.mssupervisors.org to download your registration form. Please note, there are separate registration forms for attendees who would like to purchase a booth; for attendees who wish to sponsor and purchase a booth; attendees who wish to sponsor but not purchase a booth; and for attendees who wish to attendee but not sponsor or purchase a booth.
Exhibit Hall Floorplan: Please note, MAS is reworking the exhibit hall floorplan. We anticipate receiving the new floor plan next week. Once the floor plan is complete, Yamaiky Gamez will email the floor plan to all our vendors and exhibitors to take note of your top 3 preferred booth locations. Some booths will be highlighted as priority booths. MAS Affiliate Partners will have first choice for priority booths. Bulk space/equipment will be spread out through the booth rows. Affiliate Partners receive a 10% discount on bulk space. In order to purchase bulk space, you must purchase a booth. MAS will email you your final booth assignment by June 5.
Invoices: MAS will be working on sending final invoices in the next couple of weeks. Please note, prepayment is not required. You may note on your registration form if you would like to receive an email link to pay your invoice by credit card online or if you wish to be billed and receive invoice in the mail. You will be billed based on the date MAS receives your registration form at the MAS office (793 North President Street, Jackson, MS 39202).
Exhibitor Notes
Exhibitors must check in at MAS Registration Desk and pick up booth packets before entering the Exhibit Hall. Each attendee must sign in and pick up his/her own name badge. Two complimentary t-shirts will be provided per company attendees.
Booth Assignments: MAS reserves the absolute right to assign all exhibit space, and the decision of MAS regarding assignment, reassignment or rearrangement is final. Exhibitor acknowledges that booth selections above are not guaranteed for final assignment. Booth assignment will be solely MAS’ decision. MAS will email you your final booth assignment by June 5. CDS (company setting up booths) will then email you a vendor packet with additional booth information and a form to add additional furnishings and electricity to your booth. You will be responsible to work directly with CDS on these orders.
Please note, the exhibit hall floor layout is not complete, but MAS will follow up at a later date with an updated exhibit hall layout and your request for your top 3 booth preference.
Booth Set up: You may begin setting up on Monday, June 12 at 1:00 pm until 4:00 pm, and Tuesday, June 13 from 8:00 am - 10:00 am.
Exhibit Hall Hours: Exhibit Hall will open Tuesday, June 13,2023 from 9:30 a.m. – 3:00 p.m. and Wednesday, June 14,2023 from 7:30 a.m. to 3:00 p.m. Exhibitors must check in at Registration Desk and complete booth setup by 10:00 a.m., Tuesday, June 13,2023.
Booth Breakdown: Exhibitors may not dismantle booths before 3:00 p.m., Wednesday, June 15, 2023. Per Convention Center policy, we must break down and move out of the exhibit hall by 5:00 pm. Early departure may incur a $200 penalty. Excessive trash may also incur penalty fees.
Bulk/Equipment Display: Please note, if you plan on bringing equipment, you will have to set up your equipment early at your designated time by CDS on Sunday, June 11 due to equipment having to be set up before CDS can set up booths. If you miss your designated time, you run the risk that your equipment will have to be set up outdoors, or possibly in E1. A minimum of 10 x 30 or 300 sq ft is required for purchasing bulk space. CDS will tape out your bulk space. If your equipment space is more than what is listed on your registration form, additional fees will be incurred. Per Convention Center policy, equipment must be removed by Wednesday, June 15 at 5:00 pm.
Bulk space is limited so it will be first come, first serve. Onsite cost for bulk space will be $3 per square feet. Booth purchase is required.
Hospitality Suites: If you are interested in hosting a hospitality suite, please contact Yamaiky Gamez at ygamez@massup.org Space is available at the Hardrock Hotel and the Beau Rivage Hotel. You must be registered to attend the Convention in order to host a hospitality suite. Please email Yamaiky if you would like to list your hospitality suite in the MAS final program.
Door Prizes Request: Exhibitors are encouraged to give away door prizes at their booth, as this helps attract crowds to the show. Exhibitors may bring their door prizes to the MAS onsite registration desk to be drawn and presented by MAS during the educational breakout sessions. Door prizes donated to MAS will be given away during the Educational Sessions. Exhibitors doing drawings at their booth are required to handle the delivery to the winner, or at their discretion, may draw another winner from their booth.
Possible Live Demonstration on Exhibit Hall: MAS is also working on adding possible live demonstration(s) on the Exhibit Hall Floor Tuesday, June 13 at 10:00 am to draw in our attendees. If you have any possible demonstrations or suggestions, please email YGamez@massup.org. Please note, live demonstration(s) is subject to change and requires preapproval from the Convention Center.
Kids Zone: Please note, there will be several changes to the exhibit hall layout and activities. We will be expanding into Exhibit Hall 1 (E-1), so we will have all 4 exhibit halls open. E1 will be designated as a Kids Zone. Tentatively, E1 will have activities, games, bounce house, etc. for our registered attendees to bring their children while they are in meetings. If you have any games or activities you would like to sponsor/bring, please email Ygamez@massup.org.
Additional Attendees: Exhibitor may register two complimentary attendees with each booth purchase. Additional attendee rates Early by May 12/ Late Rate:May 13 – May 31: Member/State Agency Rate - $325/$375 |Non-Member Rate -$375/$425. Not applicable after May 31. All persons on the Exhibit Hall must be registered attendees. No one will be allowed in the Exhibit Hall without a name badge, including guests.
Cancellation and Refund Policy: Written notice of cancellation must be received at the MAS Office no later than Tuesday, May 9, 2023. Refund requests will be subject to a $150 service charge. All contracts/registration forms submitted but not cancelled by the deadline will be due in full regardless of if you have prepaid or not before the deadline of May 9, 2023. No refunds will be issued for cancellations received after Tuesday, May 9, 2023. No refunds will be processed until after the close of the Convention.

Vendor acknowledges that it has been advised that public officials are subject to the Mississippi Ethics Law. Vendor understands that, if applicable, the Mississippi Lobbying Reform Act of 1994 may apply.
Vendor agrees to the Rules and Regulations as agreed upon by MAS and the Mississippi Coast Convention Center which are hereby expressly incorporated herein by reference and made a part of this agreement.
No distribution of pamphlets, materials or other information is allowed in lobby or meeting areas. Such materials may only be distributed in the Exhibit Hall during Exhibit Hours. Vendor acknowledges that it has read and understands all terms and conditions in this 2023 Vendor & Exhibitor Registration Form/Agreement.
Vendor acknowledges that registration is not complete and exhibit space (if applicable) will not be assigned until the 2023 Vendor & Exhibitor Registration Form is received by MAS.
Please note, due to limited staff, questions and emails requesting booth assignments, exhibit hall floor layout or request for invoices may take a few days for a response. MAS commits to providing your invoice and your assigned booth as quickly as we can. We thank you for your patience.
